We are excited to announce the following new updates in myGroundForce, designed to improve expense visibility, reporting consistency, and budget tracking across linehaul settlement-related costs:
Enhancements:
Include Settlement DEF and Fuel Costs in Expense Categories Budget Report
- myGroundForce now creates Expense Registry records based on eligible Settlement entries for Fuel Purchases, Tractor Repairs/Miscellaneous, and DEF costs identified within Repair/Miscellaneous linehaul settlement lines.
- These new settlement-based expense records allow specific costs originating from Settlement Data to be visible in the Budget Report by Expense Categories, improving expense category reporting while preserving the current behavior of existing dashboards and reports.
Settlement Fuel Expense Records
- Fuel purchase lines from Linehaul Settlement Data can now generate corresponding read-only Expense Registry records under the default category Settlement Fuel.
- These records include the settlement transaction date, tractor number, and the fuel purchase value.
Tractor Repairs/Miscellaneous Expense Records
- Regular Repair/Miscellaneous settlement lines can now generate read-only Expense Registry records under the default category Tractor Repairs/Miscellaneous.
- These records are created with the settlement transaction date, tractor number, and the related repair or miscellaneous amount.
DEF Expense Separation
- When a Repair/Miscellaneous settlement line has the description DEF-Retail, the system now creates a separate DEF expense record instead of grouping it under Tractor Repairs/Miscellaneous.
- These DEF records are created under the default category DEF Settlement, helping users identify DEF-related settlement costs separately in the Expense Registry and in the Budget Report by Expense Categories.
Budget Report by Expense Categories
- Settlement-based Fuel Purchase, Tractor Repairs/Miscellaneous, and DEF expense records now appear in the Budget Report by Expense Categories.
- This allows the report to reflect these settlement-originated expenses because it already reads expense information directly from the Expense Registry.
Dashboard and Report Calculation Protection
- This enhancement was designed so that existing dashboard and report calculations remain unchanged.
- When dashboards or reports use Settlement Data as the selected source, the system continues to calculate results using Settlement Data exactly as before.
- When dashboards or reports use Expense Registry Data as the selected source, the system prevents settlement-generated Expense Registry records from creating duplicate totals, margins, profitability values, or other calculations.
Read-Only Settlement-Generated Expenses
- Expense Registry records generated from Settlement processing are read-only and cannot be edited by users.
- This helps preserve traceability and consistency between Settlement Data and the Expense Registry.
Duplicate Prevention
- The settlement expense creation process includes duplicate-prevention logic. If the same eligible settlement line is processed again, the system does not create duplicate Expense Registry records.
